How to Move a LinkedIn Recruiter Licence to a New Company or Email

Move a Recruiter licence to another user when a company or email changes, and keep the work with it.

Is this your situation?

You need a LinkedIn Recruiter licence tied to a new company or a new email address instead of the one holding it now. You want to move the licence to another user.

The short answer

A Product Settings and Account Center Admin can reassign a licence from one user to another within the Recruiter contract in LinkedIn Admin Center. Reassigning moves all licences, permissions, and data such as projects, jobs, InMails, and saved searches to the new user.

Before you start

  • Confirm admin permission Only Product Settings and Account Center Admins can manage licenses, roles, and permissions in Recruiter.Verify: Check your own permission type in Admin Center.
  • Confirm an available licence To perform a seat reassignment, the admin must have an available license.Verify: Check the licence count in Admin Center before starting.
  • Confirm the recipient's status Licenses can only be reassigned to users with an Active status.Verify: Check the recipient's status on the Users tab.

How LinkedIn handles this

  • Users with Parked or Invited status cannot have licenses reassigned to them.
  • The original user loses access to the transferred data after reassignment, unless the seat is reassigned back to them.
  • As an alternative to reassigning a license, admins can temporarily park the seat or share projects directly between users.
  • Once a license is reassigned, the recipient can use the reassigned license, though work transfer may take up to five hours.

Step by step

  1. Open user management Move the cursor over your profile picture at the top of the Recruiter homepage and select Manage users in Admin Center.Confirm: Check that the Admin Center user list opens.
  2. Find the user to move On the User & license management tab, in the Users section, find the person whose work you want to reassign.Confirm: Check the Users section for that person's name.
  3. Filter or search if needed Filter by License type, License status, and Groups, or search by name or email above the user list.Confirm: Check that the correct user appears in the filtered list.
  4. Start the reassignment Click the More icon to the right of the user whose work is to be reassigned, then click Reassign.Confirm: Check that a reassignment dialog opens.
  5. Choose the recipient Enter the recipient user's name in the textbox, select them from the dropdown, then click Continue.Confirm: Check that the recipient's name is selected correctly.
  6. Preview the change Click View all to preview the role and data changes before and after the seat reassignment.Confirm: Check the before-and-after preview for accuracy.
  7. Confirm the reassignment Click Confirm to complete the seat reassignment.Confirm: Check that the recipient now appears as the licence holder. If this fails: Check the Activity log tab for a pending reassignment error.
  8. Watch for the transition window During the transition period after a license reassignment, it may appear as if both users have access to the resources.Confirm: Check both accounts' access after a few hours to compare.

Common mistakes

  • Reassigning to a Parked or Invited user Users whose status is Parked or Invited cannot have licenses reassigned to them. Why it happens: Licenses can only be reassigned to users with an Active status.
  • Expecting a reversal Once a license is reassigned to another user, the reassignment cannot be undone. Why it happens: The original user will lose access to the transferred data after a license reassignment, unless the seat is reassigned back to them.Already happened: See LinkedIn Admin Access Change Not Working if access still looks wrong.
  • Hitting the reassignment limit The number of times a license can be reassigned is limited, and this limit varies per contract. Why it happens: An organization with 15 seats is allowed to reassign 15 licenses every 30 days.

Keeping track of who has access

After you move a Recruiter licence, the app is where you track who holds each seat. Delvia keeps that record so a reassignment never leaves anyone guessing who has access.
