How to Share a Product Catalog on Meta

Give a partner or teammate access to a catalog without handing over full control of the business portfolio.

Is this your situation?

You need someone else to work with a product catalog you manage on Meta. You want to know what access level to give them and where to set it.

The short answer

Request access to a catalog from Catalogs in Meta Business Suite Settings. Only full access lets you add, edit or delete products and data sources.

Before you start

  • Confirm you can see Catalogs If you cannot see Catalogs in Settings, you may not have full control of the business portfolio.Verify: Check Settings for the Catalogs option under Data sources.
  • Know the access level needed Decide if the person only needs to view and build product sets, or must add and delete products.Verify: Compare the task against basic and full access capabilities.
  • Have the catalog already connected Connecting a catalog to other business assets requires full access to both the catalog and the other asset.Verify: Check the catalog's connection status in Data sources.

How Facebook handles this

  • Basic access lets someone view products and data sources.
  • Basic access lets someone view events and catalog match rate.
  • Only full access lets someone add, edit and delete products and data sources.
  • If you cannot see Catalogs in Settings, you may not have full control of the business portfolio.

Step by step

  1. Open Meta Business Suite Settings Go to Settings for the business portfolio that owns or needs the catalog.Confirm: Check that the Settings menu is open.
  2. Go to Catalogs Find Catalogs in the Data sources section of Settings.Confirm: Check the left menu for the Catalogs entry.
  3. Request access, if needed Click Add, then select Request access to a catalog, then follow on-screen instructions.Confirm: Check the screen for on-screen instructions to follow next.
  4. Choose basic access Basic access lets a user view products and data sources.Confirm: Check the access level selector shows your choice.
  5. Confirm what basic access allows Basic access lets the person view products and data sources.Confirm: Check the person's access level under People in Settings.
  6. Confirm what basic access allows in ads Basic access also lets the person select the catalog and product sets when creating an ad.Confirm: Check the ad creation screen shows the catalog as selectable.
  7. Know what full access adds Only full access lets someone manage catalog settings or delete the catalog.Confirm: Check the settings and delete options appear for that person.
  8. If access is denied You want catalog access and the request did not go through.Confirm: Check your role under People in Settings. If this fails: You can contact someone with full control to request that they share access with your portfolio.

Common mistakes

  • Granting full access by default Full access allows adding, editing and deleting products and data sources, beyond most day-to-day needs. Why it happens: Full access looks like the safe, complete option when granting access.Already happened: Review who has catalog access and lower levels that exceed the task.
  • Expecting to see Catalogs without full control The Catalogs option may not appear in Settings. Why it happens: You may not have full control of the business portfolio.
  • Trying to connect assets without full access to both Connecting a catalog to another asset requires full access to the catalog and the asset. Why it happens: You assume one asset's access level is enough and skip checking the other.

Keeping track of who has access

After you have set catalog access, keep track of who holds basic versus full access across your catalogs. Delvia is where you track that picture in one place.
